Fixed Asset Data Form - ID & Date fields

We have noticed that when we move an asset within the desktop program (either from within the Fixed Asset Data Form or the Move Asset Form) the "ID" and "Date" fields within the Fixed Asset Data Form do not update (after the initial entry).  However, if we use a scanner gun and upload the information into the program, the fields are updated.

Also, when we use the "Receipt Form" the same "ID" and "Date" fields do not update, although they show updated within the "History" listing.

Can you explain why this happens and how we can resolve this?

This happens because of the transactions that you are performing.

In the desktop application, when you add an asset via the Receipts form, it is considered an "Asset Receiving" transaction. When you move an asset via the Move Asset form, it is considered a "Move To" and "Move From" transaction. These transactions are updated accurately in the History form, as you noted. (In terms of the "ID" and "Date" fields that you noted: At the Move Asset form, the User ID field is read-only and reflects the logged in user; at the Receipts form, the Date field is read-only and reflects the current date.)

When you reference the "ID" and "Date" fields, are you talking about the fields found in the Location/Asset # form and the Item#/Location forms? The "User ID" and "Date" fields in these forms reflect the logged-in user and the date that the asset was added to inventory. When an asset is added via an asset receiving transaction or an asset is moved via a move to or move from transaction, the "User ID" and "Date" fields are not automatically updated in these forms because the action on the asset was not recorded specifically as an inventory transaction.

In this case, you must perform another transaction to update the "User ID" and "Date" fields in the Location/Asset# form or the Item#/Location form. This is done from either form. To do this, open either form, select the inventory record that you want to update, and then click the Update (or Edit) Button along the bottom of the form (it is the first button the the left in the row of buttons, it has a pencil and paper icon in it). The Update Inventory Dates/Times form appears onscreen and here you are able to update the inventory record. The user field is read-only and lists the logged-in user, hence the User ID field will update to the logged-in user. The Date field lists the current date; you are able to enter a past date here, but not a future one. Keep the current date or enter the inventory date that you want to appear in the "Date" field and then Click the Do It button to close this form and return to the Location/Asset # form or the Item#/Location form. The selected inventory record should be updated to reflect the current logged-in user in the "User ID" field and the new date entry in the "Date" field. After you do this, if you check the History form, you will see that another transaction has been added for this action, Inventory-Keyboard.

In terms of the scanner, when you upload and process the data, where are you seeing the "ID" and "Date" fields automatically updating and from what transactions? The transactions from the scanner data should behave in the same manner as the transactions from the workstation data.
