How can I restrict a user from entering new items, yet still allow them to issue and receive?

Items are added at the Item Data form; Items are issued from the Stock Issue form; Items are received at the Stock Receipts form.

To allow a user to add items, but restrict the user to issue or receive items, you must allow the user to access the Item Data form, but restrict the user from the Stock Issue form and the Stock Receipts form.

To achieve this, you must define security privilege levels for system functions and define user access levels based upon the security privilege levels.

When defining security privileges, you need to remember that any menu item within the ?parent menu? will use the access level assigned to the ?parent? menu. Security privilege access levels range from 1 to 9. They are hierarchical: Level 1 grants full administrator access; Level 9 grants read-only access. You do not have to assign all 9 levels; if you decide you want to use 5 levels, then 5 is the lowest level in your hierarchical system.

The system adminstrator should assign the system access levels at the Security Privilege form: Tools > Security > Privileges. At the Security Privileges form, you will find a Description column and a Level column. The Description column lists the system function. In the Level column next to the Description, assign the level required to access the function (with Level 1 being the highest, administrator access and Level 9 being the lowest read-only access). Be sure to place the Receipts and Issues options at a higher level than the Manage Inventory option (the Manage Inventory option contains the Item options, which allows you to add an item).

Once you set the Security Privilege Access level, open the Users form (Tools > Security > Users) and assign the access level to each user. User task access is determined by the access level assigned at the Security Privileges form. For example, a Level 3 user has task access to all system functions assigned an access level of 3 through 9 at the Security Privileges form. This means that a Level 3 user cannot access system privileges assigned a 1 or 2, but can access system privileges assigned a 3 to 9.

The users who issue stock and receive stock will have the access level that matches the security privilege level you set for Issue and Receipts. The users who can add items, but not issue or receive stock will have the access level that matches the security privilege level you set for the Manage Inventory function (this level should be lower than the level for Issues and Receipts).

This is how the standard security option operates. If this doesn?t provide enough security locks for you, you can contact software services for a custom security option.
